Rent vs Buy Laboratory Equipment

Renting, leasing and buying each suit different situations. The decision is usually driven by how long you need the instrument, how predictable the workload is, and who carries the service and obsolescence risk.

Renting tends to fit when

  • The need is short-term: a single project, a contract of known length, or covering a breakdown
  • Demand is uncertain and you do not want to commit capital to an unproven workload
  • You need capacity now and cannot wait for a capital approval cycle
  • You want to trial a technique or platform before committing
  • Peak season capacity is required for part of the year

Buying tends to fit when

  • The instrument will be used continuously for years
  • The method is validated on that instrument and stability matters
  • You want to control configuration, upgrades and software versions
  • Capital is available and the total cost of ownership beats rental over the period
  • You need the asset available without scheduling constraints

Costs people forget in the comparison

  • Installation, qualification and validation effort, which recurs each time equipment changes
  • Service contract cost and response times, and what is excluded
  • Consumables, columns, detectors, gases and utilities
  • Method transfer and analyst training time
  • Facility requirements: bench space, power, ventilation, cooling water, vibration
  • Decommissioning, decontamination and disposal or resale at the end

Questions to ask a rental provider

  • What exactly is included: instrument, computer, software licence, consumables, service?
  • What is the response time if it fails, and is a replacement guaranteed?
  • Is it delivered installed and verified, and by whom?
  • What condition and service history does this specific unit have?
  • What are the minimum term, extension terms and early return conditions?
  • Who is responsible for damage, decontamination and return shipping?

A note on pricing

We do not publish instrument or software prices. Real transaction prices depend on configuration, condition, accessories, service coverage, installation, region and negotiation, and published list figures are rarely what a laboratory pays. Where you need a figure to plan with, request quotations against a written specification.
